Event Venue Rental Policy

This Event Venue Rental Policy outlines the terms and conditions governing the use of the venue for private events. By booking the venue, the client agrees to comply with all policies stated below.

Event Details and Access
The rental period includes all time required for setup, the event itself, and breakdown, unless otherwise agreed in writing. Specific setup start times and final cleanup deadlines will be communicated in advance. All setup, event activities, and breakdown must be completed within the agreed-upon timeframe.

Payment Terms
A non-refundable deposit is required to secure the reservation. The remaining balance must be paid by the agreed-upon due date prior to the event. Failure to submit payment on time may result in cancellation of the reservation.

Security and Damage Deposit
A refundable damage deposit may be required prior to the event. This deposit will be returned within a specified timeframe after the event, provided there is no damage to the property, no excessive cleaning required, and all venue policies have been followed. Deductions may be made for damages, additional cleaning, trash removal, overtime use, or policy violations. If damages exceed the deposit amount, the client is responsible for all additional costs.

Cleaning and Trash Removal
Clients are expected to leave the venue in substantially the same condition as it was received. All decorations, personal items, and event materials must be removed immediately following the event. Trash must be properly bagged, sealed, and disposed of in designated areas, with liners replaced in all bins. Failure to comply may result in additional cleaning fees. Glitter, confetti, and similar materials are strictly prohibited.

Venue Amenities
Tables, chairs, and other items may be available for use or rental if specified in advance. Availability and inclusion will be confirmed prior to the event.

Food and Beverage
Use of designated bar areas may be included where applicable. If alcohol is served, all servers must hold any required licenses and permits, and vendors may be required to provide proof of insurance listing the venue as additionally insured. The venue reserves the right to stop alcohol service if laws or safety standards are not followed. Food service is permitted unless restricted by local regulations.

Smoking Policy
Smoking and vaping are not permitted inside the venue. Designated outdoor smoking areas may be available.

Decorations and Setup
Decorations are permitted as long as they do not damage any surfaces or fixtures and are fully removed after the event. Glitter, confetti, and similar materials are not allowed. Any special installations must be approved in advance.

Overtime Use
Use of the venue beyond the agreed rental period may result in additional charges and must be approved in advance when possible.

Vendor Responsibility
Clients are responsible for all third-party vendors associated with their event. This includes ensuring that vendors comply with all venue policies and requirements.

Photography and Marketing
The venue reserves the right to capture photos or videos during events for marketing and promotional purposes. This will be done discreetly and without disruption. By booking the venue, the client grants permission for such use.

Cancellation Policy
Cancellation terms, including any applicable refunds or fees, will be outlined at the time of booking. Rescheduling may be offered based on availability.

Liability and Assumption of Risk
The client assumes full responsibility for all guests and vendors during the event. The venue is not liable for injuries, accidents, or damages that occur during the event, including incidents related to slips, falls, alcohol consumption, or personal property.

Vehicle and Parking Liability
The venue is not responsible for damage to or theft of vehicles parked on or near the premises. All parking is at the vehicle owner’s risk.

Indemnification
The client agrees to indemnify and hold harmless the venue, its owners, employees, and representatives from any claims, damages, or liabilities arising from the event.

Insurance Requirements
Event liability insurance may be required for certain events. Clients and/or vendors may be asked to provide proof of coverage naming the venue as additionally insured.

Force Majeure
The venue is not liable for failure to perform due to circumstances beyond its control, including but not limited to natural disasters, severe weather, government restrictions, power outages, or emergencies. In such cases, the venue will make reasonable efforts to reschedule the event.

Maximum Occupancy and Safety
Clients must adhere to the venue’s legal occupancy limits at all times. Blocking exits, fire lanes, or safety equipment is strictly prohibited.

Governing Law
All agreements and policies are governed by applicable state laws. Any disputes will be handled within the appropriate legal jurisdiction.

Entire Agreement
These policies represent the full agreement between the venue and the client. Any modifications must be made in writing and agreed upon by both parties.
